Privacy Policy
GUEST HOUSE ARASHIMA ("we", "the guest house") receives personal data from our guests in the course of running our lodging business. We comply with the Act on the Protection of Personal Information and other applicable laws, and handle that data as set out below.

2. Data we collect
We collect the following information.
- Information you give us when booking and staying
Name, address, telephone number, email address, occupation, dates of stay, number of guests, and expected time of arrival.
From guests who are foreign nationals without an address in Japan, we also collect nationality, passport number, and a copy of the passport. - Payment information
Payments are processed through the payment service provided by Stripe, Inc. We do not receive or hold your card number, expiry date, or security code. All we learn is whether the payment succeeded, the amount, and the payment reference. - The content of your messages
What is exchanged by phone, SMS, email, or messages on a travel site. - Information passed to us by travel sites
Where you book through Vacation STAY, Airbnb, or a similar service, the guest details that site passes on to us. Bookings from Booking.com, Rakuten Travel, Agoda and the like reach us through Vacation STAY. - Website usage data
Cookies, IP address, browser type, pages viewed, and referrer, recorded when you browse this site. We do not use these to identify individuals.
3. What we use it for
- Taking bookings, sending arrival instructions and door codes, and contacting you
- Charging and collecting the room rate, and processing refunds
- Compiling and keeping the guest register required by the Private Lodging Business Act and other laws
- The Toba City accommodation tax and other tax and accounting work, and keeping the books required by law
- Dealing with damage to fittings or other problems, and correspondence about compensation
- Understanding and improving how the website is used
We do not use what we collect beyond the purposes above. We do not use it for advertising unrelated to your stay, and we do not sell it as a mailing list.
4. The guest register
- Under Article 8 of the Private Lodging Business Act we compile a guest register and keep it for three years from the date it is made.
- Because the guest house is unstaffed, identity is confirmed not in person but from the information you submit in advance together with ICT (video and still images).
- The guest register is produced when a prefectural governor, a public health centre, a police officer, or another authority requires it under the law.
5. Disclosure to third parties
We do not disclose personal data to third parties without your prior consent, except in the following cases.
- Where required by law (including production of the guest register described above)
- Where it is necessary to protect a person's life, body, or property and consent is difficult to obtain
- Where we must cooperate with a state body carrying out duties prescribed by law
6. Processors we use
To the extent necessary for the purposes above, we entrust certain work to the following companies. We supervise them as required and as appropriate.

Some of these processors are located outside Japan. Their handling of personal data is governed by their own privacy policies.
7. Security measures
- Access to the devices that hold personal data is limited to the representative of the guest house.
- The guest register and related records are kept in a locked place or in electronic storage that requires authentication.
- Once the retention period has passed, the data is promptly destroyed or deleted in a way that cannot be reversed.
- This site encrypts its traffic with SSL/TLS.
8. Cookies and analytics
- This site uses Google Analytics to understand how it is used. Cookies collect usage data, but this does not include information identifying you, such as your name or address.
- You can refuse cookies in your browser settings. You can also stop data being sent to Google Analytics with Google's opt-out add-on.
- Disabling cookies does not prevent you from browsing this site or making a booking.
9. Requesting disclosure, correction, or suspension of use
- You may ask us to disclose the personal data we hold about you, to correct, add to, or delete it, to stop using it, or to stop passing it to third parties.
- Please make such a request by phone or SMS to the contact below. We will explain how you can verify your identity and then respond in accordance with the law.
- However, the entries in the guest register that the Private Lodging Business Act requires us to keep cannot be deleted during the retention period.

11. Revisions
We may revise this privacy policy in line with changes in the law or in how we operate. Any revised version will be published on this page.
